Primary Objective: Serve as a central point of contact for escalated Associate issues related! to leaves administration. Coordinating resolution of such issues through contact with internal departments such as Payroll, HRTS, HR Services, Field HR, and Workersâ Compensation and with external stakeholders, such as Aetna and ADP. This person will be the coordinator within the Benefits Department for researching and resolving benefits related issues. The Analyst will be required to provide internal and external stakeholders, including the Associate, with exceptional customer service and a proactive approach to comprehensive issue resolution.
A second key objective for this position is to ensure company policies and benefit plans are being administered according to their terms for Associates on leaves. This is performed largely through audits and basic to intermediate root case analysis. This position will assist with and participate in complex root cause analysis with team members.
Customer Service expectations include providing Associates with an ex! ceptional customer service experience, a timely and accurate r! esolution of the issues raised, and an identification of issues arising during the ongoing administration of the companyâs policies and plans. This position is responsible for maintaining the partnering environment necessary for the successful administration of leaves.
Leaves Administration services are currently in a transition phase and will continue to be for some period of time. This position will support all transition activities and be willing to assume temporary and complex responsibilities as needed throughout the transition.
Programs and Processes Owned:
- Leaves Administration Escalated Associate Issue Triage and Resolution Coordination
- Coordination of benefits-related issues for Associates on leave
- Financial Wellness Initiative
- Leaves Administration and Disability audits and other support activities
- Provide support for other leaves related activities and financial plans as needed.
- ! Other plans/programs/duties as assigned
- Leaves Administration: Serve as the central point of contact for internal and external escalated Associate issues related to leaves administration. Coordinate accurate, timely, and comprehensive resolution of issues with all relevant stakeholders. This includes an assessment of incoming multi-faceted leaves-related issues to determine appropriate departments for issue resolution, ensuring a timely response, follow up as needed, understanding the resolution, and ensuring the needed information is communicated to the appropriate party.
- Coordinate resolution of benefits related issues for Associates on leave with other department members.
- Coordinate meetings and plan agendas with stakeholders as needed.
- Record and maintain process and meeting documentation for multi-department team to ensure decisions and issues are available for future reference. !
- Conduct routine audits of leaves and benefits administration to ens! ure policies and plans are being administered according to their terms. Perform required administrative tasks related to audit results (e.g., an audit of arrears balances for Associates on leave may result in setting up an Associate for direct billing of benefits)
- Conduct basic to intermediate root cause analysis as needed for incoming associate issues, process challenges, etc. internally and with our vendor partners. Assist with and participate in complex root cause analysis with team members.
- Provide analytical support for maintenance of and/or recommendation and implementation of improvements to administrative processes.
- Provide analytical support in policy/program/plan design and monitoring of performance to ensure that policies/programs/plans encourage and support appropriate participant behaviors.
- Identify and recommend policy and process modifications as necessary
- Identify and articulate administrative or system issues and! provide recommended solutions, based on the analysis of issue source and related factors. As assigned, oversee implementation of solutions approved by the appropriate management resource.
- Responsible for issue resolution and program improvements, i.e., rectifies simple to moderate program issues independently
- Complete periodic reporting related to plans/programs including management reports detailing past and projected plan activity and financial impacts.
- Financial Wellness Initiative: Serve as the coordinator of all financial wellness activities with our vendor and store locations. Activities typically include the development of presentation content with vendor and the coordination of store meetings or webinars with each location.
- Assist in the management of the relationship and activities of benefit plan vendor/partners to ensure outstanding customer service and accurate and efficient administra! tion in accordance with policy/plan design and legal requirements. !
- Provide exceptional customer service for Associates, internal staff, management, and vendors/partners.
- Serve as central point of contact for incoming leaves related Associate issues. Analyze issues and engage with internal departments as appropriate for each issue. Coordinate with each department to ensure timely and accurate resolution. Communicate and coordinate with external stakeholders on the resolution and itâs execution.
- Participate in the development and implementation of Associate and other communications related to leaves or benefits to educate Associates.
- Partner with department Analysts to regularly monitor and analyze program costs and competitive practices to ensure the maximization of the value achieved with benefit plan dollars spent.
- Perform benchmarking and other research in ! the development and monitoring of existing and proposed policies/plans to ensure competitive product offerings and alignment with company objectives.
