Positions in this class typically determine if compliance with programmatic requirements are met and approve or disapprove services, projects, activities or financial payments. This includes the processing of applications, certificates, grants or other program recordsThe variety of work differs among program positions.
Some positions within this class will also maintain cost, financial, inventory, manpower or other specialized reports in order to account for and evaluate items purchased, services rendered, productivity or other control oriented activities. This is accomplished by keeping records such as fees collected, quantity and quality of items purchased, credit or! reimbursement due, positions or space needed, and availabilit! y of stock. Duties involve responsibility for a significant part of the work process. Assistance is normally available from a superior when unusual or difficult problems arise.
This class is distinguished from the Office Support Specialist II by the need to perform a variety of tasks requiring independent decision-making and the interpretation of policies, practices and procedures.Supervision: ⢠Exercised: Classification typically does not supervise.⢠Received: Incumbent reporting relationship is based on department.⢠Note: Other reporting relationships may applyExample of Duties: The Office of Multicultural Affairs (OMA) is seeking a highly qualified individual for the position of Administrative Program Support Assistant to provide administrative support to the OMA and its programs. Duties include but are not limited to the following: Serves as the OMAâs primary liaison to customers and providing varied administrative support to OMA programs and services; ! Assists customers with filling out City applications and forms; responds to and assists with customer requests, inquiries and problems on the telephone and in person; Ensures that unique concerns are addressed for customers with little or no English communication skills; Prepares reports, correspondence, schedules, memos, presentations, flyers and other documents; Maintains computer database for tracking office requests; Provides coordination support for several OMA initiatives, committees and events, including a domestic violence legal clinic; Monitors inventory and orders supplies; Receives and follows up on phone calls/other communication from internal and external customers, supports daily operations of OMA.Qualifications, Special Certifications and Licenses: Requires high school diploma and training equivalent to two years of college with emphasis in accounting, record keeping, and or payroll principles.Requires one year of experience.An equivalent combination of train! ing and experience (as approved by the department) may be used to meet ! the minimum qualifications of the classification.Preferred candidate will have an Associate or Bachelorâs Degree in Human Service related field and two or more years of interpretation experience.
