DUTIES:
The Medical Support Assistant will be assigned to one of the following sections in Health Administration Service at the McGuire VA Medical Center, Richmond, Virginia: Call Center, Centralized Registration Unit, Primary Care Clinics, Subspecialty Clinics, Surgical Clinics, Ward Administration. The Medical Support Assistant is responsible for initiating and carrying out a variety of clerical, advisory and technical functions related to reception, scheduling, and processing. Duties include:
Receives and screens phone calls, responding to request for appointments and information.
Responsible for outpatient telephone calls to the Medical Center regarding medic! al and appointment scheduling, determining the appropriate clinic, administrative personnel and/or physician for which the call should be referred.
Timely clinical response to patients/callers who potentially have emergent and non-emergency care needs through prompt identification of problem and taking action on clinical referral.
Acts as a service recovery representative to promptly resolve all matters concerning scheduling and/or the centralized Scheduling Unit.
Schedules appointments using an automated system for patients requiring a variety of examination and return appointments, effectively avoid conflicts with patients treatment and clinic schedules.
Mails pre-appointment letters or will ensure the proper mailing service within the medical center is informed to mail pre-appointment letters for the specific clinic.
Utilizes the Computerized Patient Record System (CPRS) Medication Tab medication renewal request and educates c! allers on the general clinic operations.
Responsibility for ac! curate appointment management and correct coordination of all administrative information between the patient care team and the patient to achieve program expectation.
Receives and responds to unclear inquires, determining the general nature of the inquiry and independently responds to all administrative questions.
Provides instruction to clinical and non-clinical staff e.g. nurses, residents and other clinic staff on clinic procedures and medical center policy and procedures.
Maintains contacts with medical and clerical staff in various units and services/service lines throughout the medical center to effectively manage and coordinate medical service to our veterans.
Responsible for obtaining insurance information from Veterans, their families, and other eligible patients in accordance with VA mandates.
Perform basic eligibility, co-pay, and pre-registration requirements to include updating of demographics, dependent information,! and income information.
Work schedule:
Days, evenings, or midnights, depending on the location (section/unit) of the position. Some positions require rotating weekends and holidays and some positions require extended hours.

QUALIFICATIONS REQUIRED:
BASIC REQUIREMENTS
Experience and Education:
Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or,
One year of education above high school; or,
Equivalent combination of experience and education are qualifying for entry level for which both! education and experience are acceptable.
Physical Requirem! ents:
The work is basically sedentary.
English Language Proficiency:
Must be proficient in spoken and written English as required by 38 U.S.C. 7402(d), and 7407(d).
GRADE REQUIREMENTS
GS-3 (Entry Level)
None beyond the basic requirements, this is an entry level position.
GS-4 (Developmental Level)
One year of experience in clerical or office work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or,
Two years of education above high school.
Candidates must demonstrate the following knowledge, skills and abilities: (1) Ability to meet, communicate and interact with individuals from varying backgrounds and other health care team members in a courteous and helpful manner in order to complete job assignments. (2) Ability to use various types of office automation equipment and software. (3) Ability to set up, organize, a! nd maintain record systems.
GS-5 (Full Performance Level)
One year of experience equivalent to the GS-4 in Federal Service; or,
Four (4) years of education above high school.
Candidates must demonstrate the following knowledge, skills and abilities: (1) Ability to operate computerized programs and databases in order to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems and /or reports. (2) Knowledge of basic medical terminology. (3) Ability to make appointments in a clinic setting. (4) Ability to work independently in the accomplishment of a wide variety of duties, including setting priorities and coordinating work. (5) Ability to communicate effectively and professionally with employees at varying grade levels. (6) Ability to identify customer's concerns, perform the tasks required to resolve the issue accurately and timely, and follow-up as necessary to ensure a satisfactory! resolution.
