Randstad Technologies is actively recruiting an IT Dashboard-Operations Analyst II for our client in Richmond, Virginia.
GENERAL PURPOSE:
The IT Dashboard-Operations Anal! yst will work closely with the IT Leadership Team, under the direct supervision of the Director, IT Operations & Support. They will be responsible for maintaining all data related to asset management, detail tracking and analysis of all IT Financial data, including both expenses and capital budgets. They will be responsible for developing, data collection, and reporting on the IT Dashboard to the Board of Directors, cleint's Leadership, and IT Organization. They will create and generate various reports pertinent to inventory control of software licensing, hardware, IT contracts, Financial and Dashboard data. They will establish and maintain configuration database for client's computer systems. Additionally, they will handle all aspects of hardware and software purchasing from procurement through receipt of equipment; verification of receipt, tagging, bill coding, and purchase report generations. They will create and maintain all required documentation.
TIME (%) ! AND PRINCIPAL DUTIES AND RESPONSIBILITIES:
20% - Asset! Management
Use of various software tools to efficiently generate inventory data including software licensing and hardware reports and other ad hoc report requests. Prepare a variety of reports from multiple data bases and information systems. Must be able to efficiently and effectively utilize information systems to support report outcomes.
Process owner for the maintenance of software and hardware standards list; where appropriate in support of ongoing services and proposed equipment, software and services in support of IT projects.
Access a wide variety of data bases and reports to prepare special studies, perform feasibility studies and cost/benefit analysis where appropriate in support of ongoing services and proposed equipment, software and services in support of IT projects. Perform analysis of reports generated.
Establish and maintain inventory of both departmental equipment and software, and items received for end-user projects. ! Establish and maintain configuration database for client's computer systems to ensure accurate recording of system components and software applications.
Accountable for tracking, monitoring, and acquiring software licenses to ensure quality, content of goods received, and compliance with legal requirements.
Collect and maintain copies of all appropriate shipping documents for purpose of verification of receipt of equipment needed to complete departmental projects or items sent for return or repair.
Tracking of hardware to service agreements to ensure appropriate level of coverage.
Coordinate plans to recycle, donate, or otherwise remove obsolete inventory and equipment.
20% - Purchasing
Initiate and process financial paperwork for client's (e.g. purchase requests, check requests, invoices.)
Establish and update the tracking of purchases requested to ensure timely completion of departmental tasks and projects.
Work closely with all IT staff to ensure appropriate ordering of! equipment, software and services. Perform research on an as-needed basis regarding the status of orders, receivables and general projects both completed and in the queue. Maintain a copy of all IT purchase requests sent to Finance as well as confirmed purchase requests.
Generate reports intended to depict current status of work-in-progress, materials ordered but not received, and end-user requests still unresolved.
Code bills received in IT to ensure appropriate payment distribution and maintain an accurate and timely accounting of the payment distribution.
Reconcile bills to ensure accurate reimbursement for equipment and services provided.
Provide education and support for IT employees regarding inventory control issues, procedures and processes, and interpretation of inventory reports.
Document, implement, and maintain a signature approval process and appropriate levels of authority.
Interface with software and hardw! are vendors and demonstrate the ability to obtain optimal pricing and supply on purchases.
Maintain departmental documentation and data through the Quality Management System.
20% IT Financial Tracking
Perform a detail review of monthly expense and capital financials on a monthly cycle.
Identify and investigate any unexplained expense charges on monthly IT budget statement.
Work with the Finance department to make any adjustments to the IT financials for incorrect or inappropriate allocations.
Track and report financials based on eight identified IT categories of work. Compare to forecast. Investigates, and documents any variances and reason for variance and provide recommended actions.
Review expense and capital coding and ensures compliance with task codes.
Ability to manipulate information in Excel.
20% - IT Dashboard
Work with IT Leadership to identify Key Performance Indicators (KP! I) which will be tracked and reported monthly. Determine baseline metri! cs for KPIs.
Use creative methods to provide a visual monthly dashboard that is easy to understand and is also interesting in its display.
Collect data and maintain dashboard data (KPI), with monthly updates.
Investigate, analyze and report to IT Leadership data used for dashboard results to identify performance and any issues.
10% - Contracting
Maintain a database and electronic copy of all IT related contracts. This would include, but not be limited to service contracts, software contracts, and hardware contracts.
10% - Research Assistance and Other Duties
Perform product research to identify all equipment and service options available to meet the need of Clientsâ requests. Utilize available state-of-the-art sources (i.e., internet, research services) to assist in thorough and effective research.
Education:
Requires an undergraduate degree or equivalent experience
Experience:
The candidate must have a minimum of 2 yearsâ experience with spreadsheet applications, inventory control; purchasing processes; financial data; dashboard data and working with a variety of software programs.
Skills:
Team-oriented and skilled in working within a collaborative environment
Proven data analysis, data verification and problem solving abilities
Good project management skills and/or substantial exposure to project based work structures
Excellent coaching, listening, presentation and interpersonal skills
Ability to communicate ideas in both technical and user friendly language
Able to prioritize and execute tasks in a high pressure environment
